# Find a Time

Find a Time helps a group converge on a meeting time. Create a page, share the public link or email invitations, collect answers, then schedule a recommended slot.

**Try a demo:** open the [demo catalog](/demo), try [Select exact date-times](/demo/p/poll) (candidate cards plus an extra question with icons), or try [Coordinate range of availability](/demo/p/offsite) (paint grid). Guest responses are temporary and not stored permanently.

## Find a Time vs Quick Poll

**Find a Time** always includes a scheduling question so the group can lock a mutual time.

**Quick Poll** is a lighter create entry for choice questions only (for example where to eat). It uses the same poll model and public `/p/...` page, but does not require a scheduling question.

## Create

From the organizer app, open **Find a Time** (or **Quick Poll**). Optionally start from a **template** (meeting, availability, dinner, outing, game night, or vote on anything). Set a title, optional location, and timezone. Choose **who can join**: anyone with the link, or invitees only. Pick a **theme preset** for the public page look, or keep the default accent — you can refine colors later in Theme Studio.

### Scheduling (Find a Time)

Pick one scheduling mode:

- **Select exact date-times** (default) — pick dates and a shared start time and duration to build candidate cards. Add, remove, or reorder candidates before you publish.
- **Coordinate range of availability** — start from a preset such as evenings this week, weekdays, this weekend, next week, or a custom window. Guests paint on a grid inside that range. Optionally lock guests to times you marked preferred, OK, or maybe. You can still use existing hours or a weekday/everyday hours preset as the open window.

Free supports up to 30 participants (including you), 10 date windows, and 3 recommendations. Pro supports up to 100 participants, 50 date windows, and 10 recommendations.

### Extra questions

Use **Add question** for single- or multi-choice prompts (for example food or location). Optionally allow guests to suggest options. Suggestions become shared options that others can vote on. Each option has an **Icon** field: the picker offers **Choose icon**, **Search icons…**, **Remove icon**, and **Auto**. Icons come from a curated catalog (Fluent Emoji Flat and Lucide) and auto-suggest from the label; you can pick manually, clear, or reset to automatic. Free-typed emoji and uploaded images are not supported.

### Video link when scheduled

Under **Video link when scheduled**, choose how the meeting link is created when you schedule a time:

- **No video link** (common default)
- **Use account default** — follows [Settings → Integrations](/help/integrations)
- **Zoom account** — when Zoom is connected and enabled; see the [Zoom integration guide](/help/zoom)
- **Custom link** — paste a join URL or place name

After create, the manage page opens on **Settings**. **Copy Link** is the primary share action for open-link polls.

## Share and respond

On an open-link poll, anyone with the public `/p/...` page can answer until the participant cap. Invite-only polls hide the form from strangers.

Guests see stacked questions and submit once with **Submit**. For exact date-times and choice options, use **Select one** or **Corners**, then paint with **Preferred**, **OK**, or **Maybe**. Use the **Eraser** to clear (or tap the same brush again to toggle off). Hold a brush to set without clearing. **Unmarked options after submit count as unavailable** — mark what works. **Suggest another** on a choice question adds a real option others can vote on.

For coordinate-range polls, paint the preference grid the same way. Signing in from the poll is optional and lets you connect calendars for conflicts. When the organizer has conflict calendars connected, busy cells are dimmed, and recommendations automatically exclude those conflicts.

Invitations reserve a participant slot. The email includes a link to answer **without an account**. A second link lets someone with a matching FindMeTime account claim the invite so connected calendars can contribute conflict times.

You can remove anyone except yourself. That deletes their answers and frees a slot.

## Results and finalize

The manage page **Status** tab shows responses and ranked suggestions.

- For exact date-times and choice tallies, switch **Recommended** and **All**. If any option has everyone available or selected, Recommended focuses on those; otherwise it shows top-scoring options.
- For coordinate-range polls, Status still shows a named response heatmap, curated times, and per-slot participant details. **Recommended** shows up to three curated starts per day (distinct windows, with calendar spacing as a tie-breaker); **All** shows the full grid with availability badges.

Use **Copy Link** to share the poll results page with participants. You can review the ranked recommendations to determine which time works best for the group.

### Schedule this time

Once you've identified the best time, use **Schedule this time** to finalize the meeting. The confirmation dialog shows:

- Which calendar will receive the event (Google or Microsoft, depending on your connected write calendar)
- The video link that will be created, based on your **Video link when scheduled** setting
- How many participants with email addresses will receive the calendar invitation and ICS attachment

**What gets written:**

- If you have a write calendar connected (Google Calendar or Microsoft 365), the event is created in that calendar and all participants with email addresses receive a calendar invitation with the ICS attachment.
- If no write calendar is connected, participants with email addresses receive an email notice with an ICS attachment they can import into their own calendars.

The **Video link when scheduled** setting you chose during poll creation determines whether a meeting link (Google Meet, Microsoft Teams, Zoom, or custom) is automatically created and included when you schedule the time. See [Video link when scheduled](#video-link-when-scheduled) above and [Calendar and video integrations](/help/integrations) for more details.

## Pro coordination controls

Pro organizers can set a response deadline and reminder schedule, require quorum, and organize participants into groups. **Groups** act as one-per-pool requirements: for example Engineering and Design — recommendations need at least one available person from each group (ungrouped people still count individually). Recommended times can be held temporarily, automatically finalized by policy, or released and reopened when plans change. Private results hide the shared heatmap from guests. Minimal ranking controls and inconvenience rotation help balance optional attendance, preferences, and timezone fairness.

## When to use Find a Time vs Book a Time

Use Book a Time when you publish your own availability and guests pick one slot. Use Find a Time when several people should weigh in before you lock a time. Use Quick Poll when you only need a short choice question without scheduling.

## Team Find a Time

On a subscribed Team workspace, Find a Time can pull **automatic availability** from members who have an **active scheduling seat** and are explicitly selected for the poll. Collaborators without a seat (or external invitees) still participate manually by painting or choosing candidates.

Calendar free/busy is never inferred from Team membership alone — only from seat consent plus selection (or a guest connecting calendars on the poll). The creator does not have to be a participant. Create and manage Team polls from a Team workspace (Create for), then share the `/p/...` link as usual.

See [Team workspaces & billing](/help/team).

## Embed on your site

Copy an embed snippet from poll settings to add an iframe on any webpage. Guests can participate without leaving your site. All accounts can use the standard iframe embed.
