Zoom integration guide

This guide explains how organizers connect the Find Me Time app to Zoom, use Zoom meeting links on bookings, and remove the app. Guests never connect Zoom. They only receive join URLs when you use Zoom for a booking.

What Find Me Time does with Zoom

Find Me Time is a scheduling service. When Zoom is connected and selected as your video option, confirmed bookings can get a scheduled Zoom meeting join URL.

Find Me Time does not join, record, or live-stream meetings, does not read meeting chat or video, and does not subscribe to Zoom webhooks.

Prerequisites

  • A Find Me Time organizer account. Sign in.
  • A Zoom account that can authorize Marketplace apps.
  • Zoom conferencing enabled for your Find Me Time environment, shown under Settings -> Integrations when available.

Adding the app

You authorize Find Me Time from inside the product with OAuth. You can also install or manage the app from the Zoom App Marketplace, then complete the connection in Find Me Time if needed.

  1. Sign in to Find Me Time.
  2. Open Settings -> Integrations.
  3. Under Zoom, select Connect Zoom.
  4. Sign in to Zoom if prompted, review the requested permissions, and approve them. Find Me Time requests access to create, update, and delete scheduled meetings, plus read access to your Zoom profile.
  5. You return to Find Me Time. Your connected Zoom account email, or Zoom user ID, appears under Zoom with a Disconnect control.

From the Zoom App Marketplace

  1. Log in to your Zoom account and open the Zoom App Marketplace.
  2. Search for Find Me Time and open the app listing.
  3. Select Add or Install and approve the permissions.
  4. Return to Find Me Time -> Settings -> Integrations and confirm the Zoom connection appears. If it does not, use Connect Zoom once so Find Me Time can finish linking your account.

Usage

After Zoom is connected, choose when bookings should use Zoom meeting links.

Set Zoom as your account video default

In Settings -> Integrations, under video defaults, choose Zoom and select which connected Zoom account to use. New bookings that inherit account defaults create a Zoom meeting when the booking is confirmed, or when you accept an approval-required booking.

Override video settings on one Book a Time page (Pro)

On a booking page's settings, set Video conferencing to Zoom and pick a Zoom connection, use a custom join URL, use no video, or inherit the account default. Use this when one page should always use Zoom while others use Meet, Teams, or no video.

Guest booking with Zoom

Guests book from your public /b/... link as usual. When Zoom is the resolved video option and the booking is confirmed, Find Me Time creates a Zoom meeting and stores the join URL. Guests see the link on confirmation and in email. It may also appear on the calendar event if a write calendar is connected.

On the booking detail page in the app, open a reservation and use Add video link -> Zoom when Zoom is connected and eligible. Use this if a booking was confirmed without a conference link.

Reschedule and cancel

Rescheduling a confirmed Zoom booking updates the same Zoom meeting when Zoom accepts the request. Cancelling a booking deletes that Zoom meeting when Zoom accepts the delete request.

Removing the app

You can disconnect Zoom from Find Me Time, remove the app in the Zoom App Marketplace, or both. Do both if you want Find Me Time and Zoom to stop sharing access.

Disconnect in Find Me Time

  1. Sign in and open Settings -> Integrations.
  2. Under Zoom, select Disconnect next to the connected account.
  3. Find Me Time deletes local encrypted tokens and the connection record and stops future Zoom API calls for that account.

Remove in the Zoom App Marketplace

  1. Log in to your Zoom account and open the Zoom App Marketplace.
  2. Go to Manage -> Added Apps, or search for Find Me Time.
  3. Select Find Me Time.
  4. Select Remove and confirm.

Implications of removal

  • New bookings no longer create Zoom meetings until you connect Zoom again and select it as a video option.
  • Account or page settings that pointed at Zoom are no longer eligible until you reconnect.
  • Meetings already created on Zoom remain on Zoom unless they were deleted earlier with a cancelled booking. Find Me Time does not bulk-delete past meetings on disconnect.
  • Join URLs already sent to guests remain in emails and calendar invites they already received.

How user data is handled after removal

Disconnecting Zoom in Find Me Time deletes encrypted Zoom access and refresh tokens plus the connection record. Booking rows may still show historical join URLs and meeting IDs for past reservations. Zoom may retain meetings and Marketplace authorization records according to Zoom's policies.

Troubleshooting

Cannot add or connect Zoom

Confirm that you are signed in to Find Me Time, that Zoom appears under Settings -> Integrations, and that pop-up or redirect blockers are not stopping the OAuth return. Try Connect Zoom again. If the Marketplace install succeeded but Find Me Time shows no connection, run Connect Zoom once from Integrations.

Confirm Zoom is still connected, video defaults or the page override are set to Zoom, and the booking is confirmed instead of still pending approval. For Pro page overrides, check that the page's Video conferencing mode is Zoom or inherit with Zoom as the account default.

Reschedule did not update Zoom

Find Me Time requests an update to the existing Zoom meeting. If Zoom rejects the request, for example because the meeting was deleted manually in Zoom, reconnect Zoom if needed and use Add video link to create a new meeting, or update the meeting in Zoom directly.

Recordings and in-meeting features

Find Me Time does not access Zoom cloud recordings, chat, or live meeting content. Manage recordings and in-meeting settings in Zoom.

FAQ

What permissions does Find Me Time request?

Find Me Time requests scopes to create, update, and delete scheduled Zoom meetings, and to read your Zoom user profile so the connected account can be shown. It does not request access to join, record, or stream meetings.

Will Find Me Time send Zoom activation emails?

No separate Zoom activation email from Find Me Time is required after OAuth succeeds. Booking confirmation and reminder emails from Find Me Time may include the Zoom join URL when Zoom is used for that booking.

Can I connect more than one Zoom account?

When multiple Zoom connections are available, choose which account is used in video defaults or on a Pro page override.

Do guests need a Zoom account?

Guests only need a way to open the join URL. They do not authorize Find Me Time with Zoom.
